Roles #

AMBASSADOR PLUS
Admin role. Full create, edit, and delete across every module; only role with Admin Console access.
AMBASSADOR
Standard sales associate. Manages clients, draft invoices, reservations, and delivery updates.
CONCIERGE
Front-of-house and hospitality. Browses the catalogue and client book; the only role that can launch Guest Mode.
Guest Mode
Concierge-launched safe browse for showroom devices. Hides operational controls and personal data when a customer takes the tablet.

People & entities #

Client
A person or company on file. Holds contact details, VAT info, communication preferences, and the full buy history.
Private Membership
The brand's loyalty program. Every client receives a member number, a digital card, and a points balance.
Member ID
Compact client identifier (date plus the last four digits of the phone). Drives reservations, loyalty, and order matching.
Membership Card
Shareable digital card showing the client's name, points balance, member number, and QR code.
Points
One point earned per SAR 100 spent. Visible on the client profile and the membership card.
B2B Client
A client invoiced under a company name with VAT and CR registration. Documents render with the company header.
Newsletter Subscriber
Client opted in to brand mailings. Auto-revoked if no valid email is on file.
Ambassador
A staff user. Each invoice is owned by the ambassador who created it; clients can have a primary ambassador relationship.
Online Customer
A customer who first appears on the Online Store and is mirrored into the client book by the two-way sync.
Guest
A booked visitor scheduled for a Private Visit. May or may not yet exist as a Client.

Catalogue & inventory #

Catalogue
The full library of jewellery models, organised by collection. Browsable in the app and on the Online Store.
Jewellery Model
The design concept and SKU. Pricing rules, materials, photos, 3D file, and personalization options live here. One model can have many Creations.
Creation
An individual physical piece tied to a model. Has its own ISN, weight, metal mix, gemstones, location, status, and reservation state.
ISN
Individual Serial Number. Auto-generated identifier per Creation (e.g. FBJ-DB1221-0007). Used for stock tracking, certificates, and engraving on the piece.
Reference Number / SKU
The model's identifier (e.g. DB1221). Many Creations share the same reference, and the Online Store catalogue matches on this.
Status
A Creation's lifecycle state: Available, Reserved, Sold, or Archived.
Reserve / Release
Soft-hold a Creation for a client without selling it. Visible to the entire team.
Prototype
A sample or development piece. Excluded from public stock counts by default.
Special Edition
A flag on a Creation marking it as a limited or one-off variant of its model.
Archive
Soft-deletes a Creation so it leaves day-to-day views. Recoverable only from the Admin Console.
Inventory Location
The physical storage label on each Creation (e.g. "Safe 26"). Used to find stock fast.
Manufacturer
The workshop or atelier that produced a given Creation. Recorded on the piece for provenance.
Diamond / Gem
Loose stones graded by the 4 Cs (cut, colour, clarity, carat) plus shape and lab certification. Linkable to a Creation.
Linked Gem
A diamond or gem assigned to a specific Creation. Removed from the loose-stone count once linked.
Collection
Curated grouping of jewellery models for storytelling and merchandising (e.g. Aldebaran, Bonbon, Mare, Najd, Octo). Mirrored to the Online Store.
Other Products
Non-jewellery inventory: perfumes, candles, gift items, accessories. Same invoicing flow, quantity-based stock.
By Order
A flag on Other Products marking an item as made-to-order rather than off-the-shelf.
Service
A labor or experience line item: engraving, sizing, restoration, gift wrap, private appointment.
Service Requires ISN
A flag on services that must be tied to a specific Creation (e.g. resizing a known piece).
Pricing Formula
Per-model recipe combining metal weight and live spot price, creation factor, stones, diamonds, and labor, then VAT-adjusted and rounded.
Metal Prices
Live precious-metal spot rates that feed the pricing formula. Refreshed automatically.
Catalogue Print
An admin tool that generates a printable PDF catalogue from the live model list.
Creation Card
A branded shareable card for any model or piece. Generated on demand and sent over WhatsApp or saved as an image.
Bespoke Card
The bespoke variant of the Creation Card, used to share a customized concept with a client before commissioning.

Sales & documents #

Invoice
The primary sales document. Lifecycle: Draft to Approved to Returned. Each receives a sequential invoice number.
Quotation
Pre-sale quote on the same line-item engine. No tax clearance and no inventory hold.
Quick Invoice
One-screen flow for showroom counter sales: single client, one or more pieces, instant approve.
Invoice Scan
Scan an invoice QR to open the matching invoice instantly.
Creation Lookup
Scan an ISN barcode or search by serial to jump straight to a Creation's profile.
Credit Note (CRT)
Refund or return document. Tax-cleared and locked to the originating invoice subset.
Cart
The in-progress invoice line set during draft. Holds Creations, services, personalizations, and other products with per-line discount.
Approve / Return
Workflow transitions that lock or reopen the invoice for editing. Approve triggers tax clearance and stock movement.
Delivery Status
Post-approval timeline tracking the order from "Order Placed" through any client-specific stages the team adds.
Online Order
A storefront order mirrored into the operations app. The two-way sync keeps fulfillment, refunds, and tracking in step.
Fulfillment
Marking an Online Order as shipped or handed over. Triggers the storefront's customer notification.
Private Visit
A scheduled customer appointment, in-person or virtual. Auto-synced from the booking platform; pushes a notification to the team.
After-Sales Service
Service work captured on an invoice (cleaning, sizing, repair, restoration). Searchable by the Creation's ISN.
Bespoke Request
A request to manufacture a new Creation as part of an invoice. The piece is registered mid-order and reserved to the client.
Payment Method
How the invoice was settled: cash, card, bank transfer, or other. Recorded per invoice.

Tax & compliance #

ZATCA
Saudi Zakat, Tax and Customs Authority. Every approved invoice and credit note is cleared by the ZATCA gateway and stamped with a signed XML.
VAT
Saudi value-added tax, currently 15%. Applied per line; exemptions handled per client.
ICV
Invoice Counter Value. Sequential counter required by ZATCA, auto-incremented on every submission.
PIH
Previous Invoice Hash. Cryptographic chain that links every cleared invoice to the one before it.
Invoice QR
The scannable tax code printed on every approved invoice. Required by Saudi e-invoicing rules.
B2B / B2C
Tax classification. A client with a company VAT number is invoiced as B2B; everyone else is B2C.

Concepts #

Bespoke
Custom-made jewellery flow. Start from a base model, customize materials, gems, and engraving, then share a personalized 3D preview link via Studio.
Personalization
Per-piece customization data (engraving text, monogram, finish choice). Stored on the Creation and shown on the public viewer.
Engraving
Text engraved on a designated face of a piece. Multi-line and multi-language supported.
Monogram
The customer's initials rendered as a 3D-engraved or applied-relief detail.
3D Preview Link
Shareable URL for a customized piece. The customer or the storefront loads the exact configuration in the Studio Viewer.
Online Store
The public e-commerce storefront at fbinsabbar.com. Mirrors selected models, collections, online orders, and customers into the operations app.
FB Butler
The in-app AI concierge. Answers natural-language questions about clients, Creations, invoices, and sales. Role-gated for sensitive data.
Admin Console
Desktop-only admin section for AMBASSADOR PLUS. Recover archived items, manage users, see hidden records.
System Console
External operations dashboard with live telemetry and the role-gated fix agent - see fb-system-console.web.app.
Brand Icon Library
The shared icon set used across the app, Studio, storefront, and brand pages. Updates propagate from a single source.
Operational Procedures
The internal handbook of standard operating procedures, surfaced inside the app for quick reference.
Customer Services Protocols
The customer-facing service standards each ambassador is expected to follow.
House Messages
The library of pre-approved message templates ambassadors can send via WhatsApp or email.
Brand Assets
The shared library of logos, photography, and product imagery used in share cards and printed materials.
